It also helps to note whether the setup is indoors or outdoors, and whether the venue has accessible power points close to the display area. If there are stairs, tight loading bays, gravel, or a long walk from the parking area, mention that too.

Power, cabling, and safe placement
LED lightboxes and illuminated letters need a practical power point check before the hire is placed. If the venue has fixed outlets, or if the display sits far from the nearest wall point, include that in your notes so the cabling plan fits the room.
Safe cable routing matters most where guests move through the space, especially near entrances, walkways, and dance floors. Indoor placement and outdoor placement each call for different handling, so the venue conditions are worth stating clearly.
Delivery, collection, and late-night timing
